Super Bills

If we’re not in-network with your insurance, you may still be able to get reimbursed for speech therapy through something called a superbill. A superbill is a detailed receipt that includes all the information your insurance company needs to process an out-of-network claim—like session dates, fees, diagnosis codes, and treatment codes.

 

At Tiny Bees Therapy, we’re happy to provide weekly or monthly superbills that you may submit directly to your insurance for possible, partial reimbursement.

Please note: Reimbursement is not guaranteed and depends on your individual insurance plan. We recommend calling your provider to ask about your out-of-network benefits.

Medi-cal Insurance

Unfortunately, we are not able to provide superbills for clients using Medi-Cal or other state-funded medical insurance plans. Superbills are typically used for families with private, commercial insurance plans that offer out-of-network reimbursement.

 

Medi-Cal and other government-funded programs do not allow out-of-network billing and do not reimburse families directly for private services, even with documentation. We understand this can be frustrating, and we’re happy to help explore other options for support, including referrals to providers who accept Medi-Cal directly!

Step-by-Step Guide to Superbills

While these steps are designed to help guide you through the process of submitting a superbill for out-of-network reimbursement, Tiny Bees Therapy cannot guarantee approval, reimbursement, or coverage by your insurance provider.

 

Reimbursement decisions are made solely by your insurance company and depend on your individual plan, benefits, deductible, and medical necessity criteria.

We strongly encourage families to contact their insurance provider directly to confirm coverage details and out-of-network benefits.

1. Contact Your Insurance Provider

Call the Member Services phone number located on the back of your insurance card.

 

Let them know:

“I’d like information about my Speech Therapy benefits with an Out-of-Network provider.”

Be sure to write down:

  • Name of Customer Service Representative

  • Date of Call

  • Time of Call

2. Have This Information Ready

Your insurance provider may ask for the following details:

  • Insured’s Name

  • Patient’s Name

  • Patient’s Date of Birth

  • Insurance Member ID

  • Policy/Group Number

  • Provider’s Name: Tiny Bees Speech-Language Therapy, INC. - Melissa Santos, M.S., CCC-SLP

  • State License Number: Contact me directly

  • ASHA Certification Number: Contact me directly

  • NPI Number: Contact me directly

3. Ask these questions

Ask these questions during your call:

  • Do I have coverage for speech therapy for children with an out-of-network provider?

  • Do I need pre-authorization for pediatric speech therapy?

  • What specific ICD, CPT, or treatment codes are required on my form?

  • Can I submit a superbill for reimbursement?

  • What is the process for filing a claim after receiving a superbill?

  • Are there any additional forms needed?

  • Where can I find those forms on your website? Can you email me a copy?

  • Can I file my claim online, or must I mail or fax it?

  • Is there a deadline for submitting my claim after the date of service?

  • How long does it take to process a claim?

  • What is the appeals process if my claim is denied?
